Use Administrasi to maintain the bank's organization, users, office assignments, operating references, and document stock. Establish these foundations before operators open accounts or record transactions.
The administration landing page groups organization, user, and operational settings. Office names and available options depend on your bank.
Before You Begin#
You need permission for the administrative function you intend to maintain. Confirm the bank-approved organization details, office codes, role responsibilities, and transaction limits before entering them. Access changes should follow your bank's approval process.
The main groups are Master, Manajemen Pengguna, and Operasional dan Konfigurasi. Teller configuration belongs to administration, while teller transactions are under Simpanan.
Maintain Bank Information#
Open Administrasi → Informasi Klien. Some page headings and breadcrumbs use Informasi Client.
The screen contains five tabs:
| Tab | Content |
|---|---|
| Informasi Bank | Identity, address, contact information, tax identity, ownership-related financial information, and audit information. |
| Pemegang Saham | Shareholder records. |
| Direksi | Directors and their supporting information. |
| Pejabat Eksekutif | Executive-officer records. |
| Pihak Terkait | Related parties. |
To maintain the bank record:
- Open Informasi Bank and review the existing values.
- Select Ubah when an existing record needs correction, or complete the initial form when no bank record exists.
- Enter the required identity and contact fields, then the applicable ownership and audit details. Complete conditional fields when their controlling option is enabled.
- Review the form and select Simpan Informasi Bank for initial entry or Simpan Perubahan for an update.
- Reopen the record and confirm the saved information.
Complete the bank information before maintaining the other tabs; those tabs are disabled until the required bank data is complete. In a related-party tab, use its add action, complete the form, and submit. Existing entries provide Lihat Detail, Ubah, and, where available, Hapus.
Use your bank's approved legal and ownership information in these fields. Generate the required reports separately through Laporan after checking the saved records.
Maintain Branches, Cash Offices, and Departments#
Kantor represents a branch or organizational office. Kantor Kas is a cash office associated with a branch. User placement connects users to these offices.
- Open Administrasi → Kantor and select Tambah Kantor, or use Edit on an existing record.
- In Informasi Dasar, enter Kode Kantor, Nama Kantor, Nama Pimpinan, No. Telp, Jumlah Kantor Kas, Koordinat Kantor, and Kode CoA. Review Status Kantor Cabang and the head-office setting. Complete the applicable employee and inventory information in the remaining sections.
- Select Tambah for a new office or Edit for a change, confirm, and verify the saved code, name, and status.
- Open Administrasi → Kantor Kas and select Tambah Kantor Kas. Select Kantor Cabang, enter Kode Kantor Kas and Nama Kantor Kas, and complete the remaining basic and permission information.
- Review Status Kantor Kas, select Tambah, and confirm. Use Edit for later changes. The parent branch and cash-office code are read-only when editing; the branch code is also read-only in its edit form.
- Maintain organizational departments under Administrasi → Departemen before assigning them to users. Select Tambah Departemen, enter Kode Departemen and Nama Departemen, review Status, and select Tambah and confirm. Use Edit for changes to an existing department.
Use the existing record for a correction rather than introducing a duplicate office. Active office status matters: the office selector filters out inactive branch or cash-office assignments. Review user placements after organizational changes.
Where an account or CIF form asks for an external bank, select the correct existing bank reference. If it is missing, ask the administrator responsible for bank-reference data to add or correct it before continuing.
Manage Roles and Transaction Limits#
Roles control the functions a user can access. A transaction threshold additionally determines when supported teller transactions need authorization.
Selecting the teller role type reveals its transaction-limit controls.
- Open Administrasi → Role and select Tambah Role, or use Edit on an existing role.
- Complete Kode Role, Nama Role, and Deskripsi Role.
- Set Jumlah Kantor Cabang and Kedaluwarsa Kata Sandi to the approved values, then select the required Hak Akses. Review each selected access entry and remove any that the role does not need.
- Select Tipe Role. For a teller role, set Transaksi Maksimal Tanpa Otorisasi. These transaction-limit controls appear for the teller role type.
- Enable Tanpa batas maksimal otorisasi only when the bank has approved that authority for the teller role. Review Status.
- Select Tambah for a new role or Edit for a change and confirm the decision.
- Reopen the role and review the saved values before assigning it to users.
Deposit transactions above the user's threshold are sent for authorization unless the explicit bypass applies. A threshold of zero does not mean an unlimited limit. Keep permission to enter a transaction separate from the authority required to approve it.
COA restrictions are a separate accounting control. See Accounting when a role must be limited to particular accounting accounts.
Create and Maintain Users#
- Open Administrasi → User and select Tambah User.
- Enter Kode User, Nama User, Inisial User, and Email User.
- Select Departemen and Role.
- Set Status, review the details, select Tambah, and confirm.
- Check Otorisasi User for the request requiring review, and complete the applicable authorization stage.
- Configure the user's office placement before expecting them to work in that context.
For an existing user, use Lihat Detail to inspect the record or Edit to make a change. Select Edit in the form and confirm to submit the change. The Status control shows Aktif or Tidak Aktif. When setting an active user inactive, provide the required Catatan explaining the change.
Status updates wait for authorization. Changing the switch and saving the request does not immediately change the effective user status. Check the user after authorization.
Authorize a User Request#
- Open Administrasi → Otorisasi User.
- Inspect the pending request and confirm the intended user, role, and status change.
- Select Terima to accept it, or Tolak to reject it.
- For rejection, enter Alasan Penolakan and submit the decision.
- Confirm the resulting user state in User.
Restore Access after Failed Sign-In#
CBS inactivates a user after three failed password attempts.
- Find the user under Administrasi → User and inspect the status and any pending request.
- Confirm the reason for the access problem and the bank's authorization to restore access.
- Open Edit, change Status to Aktif, and submit the change.
- Complete its review through Otorisasi User and verify the effective status.
- Have the user sign in with the correct password. If a password change is needed and the user can sign in, they use Profile → Ubah Password.
Reactivation does not change the password. If the password is unknown, use the bank's credential-recovery process instead of making repeated login attempts.
Assign Users to Offices#
- Open Administrasi → Penempatan User.
- Locate the user and use Lihat Penempatan User to inspect current assignments.
- Select Edit Penempatan User to maintain the assignments.
- Choose Kantor Cabang and Kantor Kas for each required placement, then select Kantor Default from the assigned cash offices.
- Save the changes and have the user verify the available selection under Ganti Kantor Kas.
Only eligible active assignments are offered by the office selector. A user with no valid placement may be unable to establish an operating context even if their role is otherwise suitable.
Use Konfigurasi User Teller to associate teller users and teller cash configuration. The setup, cash handover, transaction threshold, and history procedures are described in Teller Operations.
Maintain the Holiday Calendar#
- Open Administrasi → Kalender Hari Libur and select the year to maintain.
- Use Tambah Tanggal Merah and enter Dari Tanggal.
- For several consecutive dates, enable Rentang Tanggal Berurutan and enter Sampai Tanggal. Both dates must be within the selected year.
- Enter Keterangan and review Status Aktif.
- Enable Berulang Setiap Tahun only for a holiday with a fixed calendar date, such as a date that repeats on the same day and month each year.
- Select Tambah, then confirm the intended dates and descriptions in the calendar/list.
For an existing date, open Edit Tanggal Merah, correct the permitted fields, and select Simpan. Check the calendar after the change. Confirm operational scheduling separately; a calendar entry does not mean every scheduled process will move to a different day. See Scheduled Processing.
To maintain the weekend definition, open Konfigurasi Weekend, review Sabtu and Minggu, and select Simpan. Use the bank's operating-calendar policy when changing these settings.
Maintain Display Parameters#
Administrasi → Parameter manages named parameter groups and the options available within them. These options supply reference choices used by forms. Deposit and lending settings remain in their respective modules.
- Open Parameter and find the required group.
- To create a group, select Tambah Parameter, enter Nama Parameter and any Tags, and select Simpan. Use Edit Params to change a group's name or tags.
- Select Edit Options for a manageable group. A group with Lihat Options can be inspected but does not offer the same maintenance controls.
- In Detail Parameter, enter the new option's Code, Nama, and Urutan, then select Tambah. Use the row's edit action to change an existing option's name or order; its code is read-only during editing.
- Review the saved options and select Tutup.
Use established reference codes and meanings. Renaming or removing an option may affect how existing records are interpreted, so coordinate changes with the teams using that parameter.
Register Passbook and Certificate Stock#
Document-stock management records numbered physical documents and their allocation. It is separate from the ability to print them.
- Open Administrasi → Persediaan Buku dan Bilyet.
- Select Tambah to open Tambah Persediaan.
- Select Tipe Persediaan, Kantor Cabang, and Kantor Kas.
- Enter Tanggal Penerimaan.
- Enter Jumlah Digit, Angka Awal, and Kuantitas for the number range.
- Review the range, select Simpan, confirm, and check the created stock records in the list.
The optional Prefix is not stored. Use the saved document codes when identifying stock. Tanggal Penerimaan cannot be a future date.
Use list filters to find the correct type, office, and status. Select Pembaruan to open Pembaruan Persediaan, enter the target number range, and update its permitted location or status fields. Select Simpan Pembaruan and confirm. Status updates apply only to codes currently marked Tersedia. Do not treat an already bound, lost, or damaged item as available stock.
Bind or Replace a Document#
- In Rekening Tabungan or Rekening Simpanan Berjangka, use Lihat Detail on the active account and go to Dokumen.
- Check the account, office, and currently bound document, then select Tambah Dokumen.
- For an initial binding, enter Kode Dokumen for the eligible available stock item and select Bind Dokumen.
- When an active document is already bound, the same control opens Ganti Dokumen. Select Hilang, Rusak, or Penuh in Status Dokumen Aktif as appropriate for the old item and enter Kode Dokumen Baru, then select Ganti Dokumen.
- Review the account's current binding and stock history so the old and new items are accounted for.
Enter the document code exactly; this control is a code-entry form, not a stock picker. The stock branch and cash office must match both the account and your active office context. Use the document dialog to save the binding; the account page's bottom Edit button saves changes to account fields.
Replacement covers lost, damaged, or full documents according to the options shown for the account type. Registering or binding stock records its allocation; it does not physically print a passbook or certificate. Use only the document-printing process enabled by your bank.
Review Changes and Resolve Exceptions#
When a user cannot access a function, check effective user status, role permissions, office status, placement, and any pending authorization. For a teller problem, additionally check the teller cash configuration and transaction threshold. For unavailable document stock, check type, office, and current allocation before creating another range.
Retain the relevant request or stock-history reference when escalating an issue. Use Reports and Operational History to obtain supporting reports.
