Use Akuntansi → Fix Assets to register inventory, record its office and physical placement, and authorize later movements or status changes. Categories, brands, and items provide the reference data used by the inventory register. The menu calls the item-reference function Sub Kategori Fixed Asset; its forms also use the term Item FA. An inventory record then holds the actual quantity, acquisition values, location, and depreciation settings.
Saving a new inventory record and approving it are separate steps. A later movement or status change also has its own authorization workflow. Check the resulting inventory and history after approval rather than treating a submission message as a completed change.
Before You Begin#
Confirm that you have access to the fixed-asset function and the relevant offices. Prepare the purchase or acquisition reference, item and brand, quantity, cost per item, acquisition date, depreciation start date, useful life, residual value, and physical placement.
Asset categories carry accounting mappings that are used when inventory is registered. Have an authorized accounting administrator confirm these mappings before registering assets. You should not choose accounts solely because they appear in a dropdown.
Prepare Categories, Brands, and Items#
Create the references in dependency order: category, item/subcategory, then brand.
- Open Kategori Fixed Asset and choose Tambah Kategori FA. Enter Kode Kategori FA and Nama Kategori FA, then choose CoA Debit and CoA Kredit. Submit with Tambah and confirm.
- Open Sub Kategori Fixed Asset and choose Tambah Item FA. Enter Kode Item FA and Nama Item FA, then select its Kategori FA. Submit with Tambah and confirm.
- Open Brand Fixed Asset and choose Tambah Brand FA. Enter Nama Brand FA and select its Item FA. Submit with Tambah and confirm.
- Review the saved records before using them in the inventory form. Category/item codes accept up to 15 characters; their names and brand names accept up to 100 characters.
The category describes the accounting classification, the item identifies the kind of asset, and the brand describes its manufacturer or brand reference. Keep these references consistent so that inventory can be grouped and reviewed meaningfully.
Register Inventory#
Inventaris Baru: item, placement, quantity, acquisition value, and depreciation settings.
- Open Akuntansi → Inventaris and choose Tambah Inventaris to reach Inventaris Baru.
- Select Kode Item, then Brand. Brand selection becomes available after an item is selected and its brands have loaded.
- Select Kantor Cabang, then Kantor Kas. The cash-office field is disabled until a branch is selected; its choices belong to that branch.
- Enter Nama/Keterangan Inventaris and Detail Penempatan. Use the placement field for a useful physical location, such as “Ground floor, operations room,” rather than repeating only the branch name.
- Enter Jumlah Item and Harga Perolehan per Item. Review Total Harga Perolehan so that a per-item value is not mistaken for the whole batch's cost.
- Enter Tgl. Perolehan, Tgl. Awal Depresiasi, Masa Manfaat (Bulan), and Nilai Residu. Select Garis Lurus in Metode Depresiasi; the blank form initially asks you to choose a method.
- Review the form, choose Simpan, and confirm the registration request.
- Have an authorized reviewer process the request in Otorisasi Inventaris.
The form requires quantity, acquisition value, useful life, and residual value to be at least one. Placement is required and is limited to 200 characters. A depreciation start date is distinct from the acquisition date; enter each deliberately.
Authorize Inventory Registration#
- Open Otorisasi Inventaris and select the pending request to reach Detail Otorisasi.
- Check its item, brand, quantity, values, dates, branch/cash office, placement, and category-derived accounting treatment.
- Choose Terima or Tolak. A rejection requires an Alasan; confirm the decision in the next dialog.
- Return to the inventory list and review the result.
Acceptance creates the active inventory record and an associated registration journal. After approval, check the generated inventory code, active status, quantity, and accounting entries. For journal review and posting, see Accounting.
Find an Inventory Record#
In Inventaris, search by Kode or Keterangan. Use the Item FA filter to narrow the list when needed. Review Item / Brand, Kantor, Kantor Kas, Status, and Jumlah before opening a row's Detail or action menu.
| Status | Meaning |
|---|---|
| Aktif | Active inventory. |
| Pending | A record awaiting further processing. |
| Hilang | Inventory recorded as lost. |
| Terjual | Inventory recorded as sold. |
| Dibatalkan | Inventory registration has been cancelled. |
| Dipindahkan | Inventory recorded as moved. |
| Sudah Didepresiasi | Fully depreciated inventory. |
Move Inventory#
Use Pemindahan when inventory remains owned by the bank but changes location. Do not register a second independent purchase merely to represent a transfer.
Cropped Pemindahan fields. Qty starts with the current quantity; review it before requesting a partial movement.
- Find the inventory record and open its Pemindahan action.
- Review Qty, which initially contains the current quantity. Enter the quantity to move as a whole number of at least one, within the displayed maximum.
- Select the destination Kantor, then Kantor Kas. The cash-office field becomes available after a branch is selected.
- Enter the destination Lokasi Penempatan and any Catatan Tambahan. Placement accepts up to 200 characters; notes accept up to 100.
- Choose Simpan and review Konfirmasi Pemindahan, including quantity and destination.
- Choose Konfirmasi to submit the request, then have a reviewer process it through Otorisasi Perubahan Status Inventaris.
- Review the resulting inventory quantities and Riwayat Pemindahan.
The history shows the date, quantity, origin, destination, and placement. When only part of a quantity is processed, review the resulting inventory records rather than assuming the original code now describes the entire batch at the new location.
Record Sale or Loss#
Use Perubahan Status for the supported Dijual and Hilang states.
- Open the action for the relevant inventory.
- Enter Qty, within the displayed quantity limit.
- Select the intended new status and add a meaningful Catatan Tambahan.
- Choose Simpan, check the quantity and target status in Konfirmasi Perubahan Status, and choose Konfirmasi.
- Have the request accepted or rejected in Otorisasi Perubahan Status Inventaris.
- Reopen the inventory and check Riwayat Perubahan Status, including Status Awal, Status Baru, and Kode Hasil.
The status-change screen records the inventory event. Do not assume that choosing Dijual records sale proceeds or completes every accounting entry required by the bank's disposal process. Reconcile any related cash receipt and accounting treatment separately.
Cancel Inventory#
The inventory list also provides Cancel Inventaris. Use it only for an approved cancellation of an erroneous registration, after checking the record's history and associated accounting entries.
- Open the record and review its status, quantity, movements, and depreciation evidence.
- Choose Cancel Inventaris and review Konfirmasi Cancel Inventaris. This action opens a confirmation directly; it does not ask for a quantity or note.
- Choose Konfirmasi to submit the cancellation request, then complete its authorization through Otorisasi Perubahan Status Inventaris.
- Verify the final inventory status and associated accounting effects.
These change operations require active inventory. Before cancelling an asset with depreciation or other history, have Accounting assess the existing entries and the appropriate correction. Check the returned eligibility message and the resulting status; a visible action alone does not establish that the change has completed.
Understand Depreciation#
Scheduled depreciation processes active inventory. It uses the depreciation start date or latest recorded depreciation date to determine whether at least one calendar month has elapsed. An eligible run can cover more than one elapsed month. The calculation is capped so that the resulting current value does not fall below the recorded residual value, and CBS can mark the inventory Sudah Didepresiasi when that floor is reached.
An asset may have no new depreciation entry because it is inactive, no month has elapsed since the applicable date, or its current value is already at the residual floor. Confirm the bank's processing schedule with the operations team and reconcile the amounts with Accounting before completing a period close.
Review Depreciation Results#
- Review the inventory's acquisition value, quantity, start date, useful life, residual value, and status.
- Generate the fixed-asset depreciation report for the required scope and period.
- Compare the reported depreciation and current value with the bank's approved schedule.
- Trace the associated journal and verify its accounting date, accounts, and amount.
- If the value or period differs from expectation, record the inventory code and relevant report/journal references and escalate for reconciliation. Do not correct the discrepancy by registering another asset.
Review the Asset Register#
The report Daftar Aset Tetap, Inventaris dan Aset Tidak Berwujud supports a month, office/cash-office scope, and asset-type filter. Future months are not allowed. For the current month, the reporting cutoff is today in WIB; a past month uses its month end.
The report explicitly uses current office and inventory status. A past-month report should therefore not be assumed to reconstruct every historical location or status as it stood at that month end. Use the movement and status histories when investigating those changes.
